Challenge

Stem Quest Academy teaches computer science and AI the way a great tutor would, in small cohorts, twice a week, live, with mentors who have spent decades building real software. It is the opposite of a pre recorded course library, and that is exactly what makes it work. But it also meant the academy had outgrown the tools most learning platforms are built for.

A student would leave a Tuesday session having just wired up the loop logic behind a Star Catcher game, and there was nowhere for that momentum to live. No single place to resume the project, see what was due before Thursday's build lab, or check how the last assignment was graded. Parents were left piecing together progress from memory and the occasional update, rather than seeing it directly. And because SQA teaches four very different age groups under one roof, Explorers just discovering block based logic, Builders moving into Scratch and simple robotics, Creators writing real Python, Innovators shipping AI and portfolio projects, a single generic course page could never represent what any one of them was actually doing.

The academy needed a platform that did not try to replace live teaching, but gave it a floor to stand on: continuity between sessions, clarity for parents, and a structure flexible enough to hold four entirely different curricula without flattening any of them into the same template.

Approach

We built SQA's learner experience on Open edX, treating it as a foundation to be shaped rather than a product to be installed. The parts of Open edX that are genuinely excellent, structured course architecture, granular assessment, certification, scale, stayed. Everything a student actually touches was rebuilt around how SQA teaches.

The learner dashboard became the center of gravity. Sign in, and a student lands exactly where they left off, not at a course homepage, but at the specific unit, the exact lesson inside a project like Star Catcher, so a return session starts with building, not searching. Completion is shown as a clear percentage next to a plain count of units finished, and grades are broken into the categories that actually mean something to a mentor and a parent alike: homework, quizzes, labs, and projects, each visible at a glance rather than buried in a spreadsheet style gradebook.

Because SQA pairs live teaching with independent practice by design, we made course content available on demand between sessions, so a concept taught on Tuesday can be revisited and reinforced well before Thursday's build lab, on the student's own schedule. Assignment due dates, quiz dates, and course end dates live directly on the dashboard, removing the dependency on a separate email thread to know what is coming next.

Mentor feedback was built into the platform rather than routed around it. A short, specific note from a mentor, tied to a real piece of work, sits where the student will actually see it, which does more for a ten year old's confidence than a grade alone ever could. Membership tiers govern which course levels a student can access, letting SQA run its flagship after school program alongside private lessons and premium tracks without maintaining separate systems for each. And every finished course now ends in a certificate generated inside the platform itself, carrying the student's name, grade path, and cohort, built to be shared the moment it is earned rather than filed away.

Outcome

Every SQA student, regardless of grade path, now signs into one dashboard that reflects exactly where they stand, what they have built, and what comes next. A paused project picks up mid unit, not from scratch. A parent can see a quiz grade the moment it posts, without waiting on an update. A mentor's note reaches the student directly, attached to the work it is actually about.

The platform now carries SQA's full teaching model end to end, live cohort instruction, independent practice in the gaps between sessions, and a shareable certificate at the finish line, on infrastructure built to grow the same way the curriculum does, from a six year old's first block based puzzle to a high schooler's AI portfolio project. What started as a scheduling and visibility problem became the connective tissue of the entire program, the layer that makes twice weekly live teaching feel like one continuous experience instead of two disconnected hours a week.
